Keep Your Email Message Clear For Best Results

Many business websites fail in sending e-mails mainly due to the organization of their messages. It is very common for an e-mail to be misleading or confusing regarding its purpose. The key to sending e-mail messages is to be clear and to the point. Avoid spectacles like graphics and varying font sizes. It is more important to stay true and straight-forward.

Before sending an e-mail, you must first answer a few questions:

1) What is the purpose of your e-mail? What are you selling/sharing/announcing? Do not mislead your audience by having a eye-catching title that does not coincide with the message itself.

2) Who is your target audience? If you are having a sale on new skateboards, you should probably avoid sending your message to senior citizens. This will inevitably create a negative response and perhaps hurt your business website’s reputation.

3) What are you sending? Know your own goals before sending out a mass e-mail. Be careful not to mince words and alienate your target customers.

4) What do the customers gain from this e-mail? Will they simply receive information that they neither want nor need? Make your intentions clear: if you are giving a discount or a coupon, make sure the customer is aware of what they are receiving.

E-mails of this nature usually fall into four categories:

1) Offers. Here, you will be giving the customers something they may not receive at other times. This would include a limited sale or discount.

2) Networking. With these types of e-mails, you are trying to creating a network to share information with like-minded individuals.

3). Manuals, or Processes. Here, you are giving tips on how something works or operates.

4) Announcements. These e-mails involve sharing individual events that may intrigue your customers.

Before sending your e-mails, make sure you know your own intentions and reasons for sending the message. Carefully follow these steps, and your customers will not be mislead on your intentions.
